How to ask parents for tuition fees politely: messages that don't sound like a warning

You open WhatsApp, type 'fees pending', then delete it. It sounds blunt. Add too many apologies and the due date disappears.
The middle ground is a message that names the month and balance, then asks for a payment date. It won't solve a family's inability to pay. It will tell you what to discuss next.
Start with your records, not your wording. Check whether a payment has already arrived, whether you've agreed to an extension, and when you last messaged. Asking twice for money already paid is harder to repair than a late reminder.
The scripts below are examples, not messages to send unchanged. Replace every bracketed field, check the amount, and send privately to the parent. Don't put a student's pending fees in a class group.
Before the due date: keep it ordinary
Use this when the parent already knows the payment schedule. A reminder is not the place to introduce a new deadline.
Hi [parent's name], a quick reminder that [student's name]'s tuition fee for [month] is ₹[amount], due on [date]. You can pay by [agreed payment method]. Please message me if you need to discuss the date. Thank you, [teacher's name].
For a shorter WhatsApp message:
Hi [parent's name], [student's name]'s [month] tuition fee of ₹[amount] is due on [date]. My UPI ID is [UPI ID]. Thank you.
Avoid "urgent", "final warning" and repeated question marks when nothing has gone wrong. A routine payment should sound routine.
After the due date: name the balance, not the blame
Hi [parent's name], I'm checking my fee records. ₹[amount] is still showing as pending for [student's name]'s [month] tuition. If you've already paid, please send the payment reference so I can check it. Otherwise, could you confirm when you expect to pay? Thank you.
"Still showing as pending" leaves room for a bookkeeping mistake. It doesn't pretend the fee is optional. If your records are reliable, you can be more direct:
Hi [parent's name], the ₹[amount] tuition fee for [month], due on [date], is pending. Could you please pay by [proposed date], or message me today if we need to agree on another date?
That proposed date is a request, not a retroactive penalty. Don't attach a new late fee that wasn't in the agreed policy.
When the parent has paid part of the fee
State the total and the amount received. Otherwise, a reminder for the remaining balance can look like a request for the whole fee again.
Hi [parent's name], thank you for the ₹[received] payment for [student's name]'s [month] tuition. The monthly fee is ₹[total], so ₹[balance] remains. Can you confirm whether [date] works for the balance?
Example: a ₹2,000 monthly fee with ₹800 received leaves ₹1,200. Check that calculation against your own record before sending.
When they need more time
'Next week' isn't a date. If you can offer an extension, agree on a day and write it down.
Thanks for letting me know. We can move this month's ₹[amount] payment to [agreed date]. I'll note that in my records. Please message me before then if the date needs to change.
Use this only if you're willing to offer the extension. If you can't, say so without referring to the child as the problem:
I understand. I can't extend the payment beyond [date] this month. Could we discuss a payment plan before then?
Don't promise an arrangement you cannot keep. Write down any amount and date you both accept.
When a reminder has already gone unanswered
More messages are not always better messages. Check your last contact and any promised payment date before following up.
Hi [parent's name], following up on my message from [date]. ₹[amount] for [month] remains pending. Please confirm a payment date by [reply date], so I can plan the next month's classes. If there's a difficulty, we can discuss it privately.
Only mention a pause in classes if it matches the policy the parent already agreed to. Don't threaten a consequence you're not prepared or entitled to apply.
A Hindi-English version
Namaste [parent name], [student name] ki [month] ki tuition fee ₹[amount] abhi pending hai. Agar payment ho gaya hai, payment reference bhej dijiye taaki main record check kar sakun. Nahi hua hai toh please bata dijiye kis date tak payment ho payega. Dhanyavaad.
Choose the language you normally use with that family. A stiff English message can feel less personal than a clear Hindi one.
Close the loop after payment
Hi [parent's name], received ₹[amount] on [date] for [student's name]'s [month] tuition. [The month is fully paid / ₹[balance] remains.] Thank you.
Verify the money arrived before confirming receipt. A screenshot alone should not replace checking your own payment record.
