How to track partial tuition fee payments without losing count
Published 2026-09-28
"I'll give Rs 1,000 now and the rest next week." Every tutor hears it. It's reasonable, and it's also exactly where money quietly goes missing - because a month that is half paid looks, at a glance, like a month that is paid.
Why part payments get lost
- A tick mark in a diary can't say "Rs 1,000 of 2,000".
- The balance is remembered, not written - and memory resets every month.
- By the time you notice, it's two months old and awkward to raise.
A simple rule: a month is paid only when it's fully paid
Record every amount against a specific month. A month stays on your "due" list until the total received reaches the monthly fee, and it shows how much is left. That one rule makes part payments impossible to forget.
Old balances from before you started tracking
When you move from a diary to any tracker, write down each family's previous balance once, as its own line. Reduce it as money comes in. Don't try to spread old dues across months you no longer remember.
Say it clearly in the reminder
A good reminder for a part-paid month is specific: "Rs 1,000 left for September, plus previous balance Rs 1,500." Specific amounts get paid; vague ones get postponed.
How FeeSathi handles it
In FeeSathi, choose "Record a part payment" on a student, pick the month and enter the amount. The month stays on the due list with "Rs X left" until it's complete, and the WhatsApp reminder lists what's left - including any previous balance you entered when adding the student.
