Excel vs a fee tracker: what actually saves a tutor time

Most tuition teachers start with a diary, graduate to Excel, and stay there. Excel is genuinely good - free, flexible, yours. So when is a dedicated tracker worth it? Honest answer.
Where Excel wins
If you have fewer than about 10 students and one batch, a sheet is usually enough (our rule of thumb). One column per month, an X when paid. It costs nothing and you already know it. Don't let anyone sell you software at that size.
Where Excel quietly costs you
- No reminder workflow. The sheet tells you who owes, but you still have to find the parent's number, compose the message, and send it. It's the part that most often gets skipped.
- No payment link. A sheet can't hand the parent a ready message with your UPI ID and the exact amount. Friction stays high, fees stay late.
- Old months disappear. Scroll two months back in a busy sheet and dues get invisible. A tracker keeps every unpaid month on the front page until it's settled.
- Attendance lives somewhere else. Fees in one file, attendance in a diary, phone numbers in your contacts - three places, monthly.
The crossover point
