Free fee management for small coaching institutes
Published 2026-10-09
A small coaching institute usually doesn't need an ERP. It needs to know which families owe for which month, remind them without awkwardness, and keep a record it can trust. Here is what to look for in free fee-management software - and an honest view of where FeeSathi fits and where it doesn't.
What a small institute actually needs
- A dues list that shows every unpaid month, not just this month.
- Part payments and previous balances, recorded as amounts - not ticks.
- A quick way to remind each family, with your UPI ID and the exact amount.
- Receipts, so "I already paid" has an answer.
- Import from your current Excel sheet, and export back out whenever you want.
If a tool needs a week of setup or a training call, it's probably built for a bigger institute than yours.
FeeSathi is a good fit if…
- One owner who handles fees personally, on their own phone.
- Up to a few hundred students across several batches (FeeSathi allows up to 500 active students per page).
- Monthly fees, with part payments and old balances from before you started.
- Parents who pay by UPI or cash and talk to you on WhatsApp.
- You want your records in Excel, not locked inside an app.
Choose something else if…
- Several staff need their own logins or different permissions - FeeSathi has one private link per page.
- You want reminders sent automatically on a schedule - FeeSathi prepares each reminder, but you tap send.
- Parents expect an app or portal of their own.
- You need payments marked paid automatically through a payment gateway, or formal numbered receipts/invoices from the same system.
- You need batch-wise filters, timetables, exams or a student app - FeeSathi lists students by who owes most and shows the batch as a label.
Full fee-management and institute apps do offer several of these, usually on paid plans. Compare current features and prices on each vendor's own site; see our honest comparison for how the categories differ.
Moving from Excel in one go
Export your sheet with these columns - Name, Parent phone, Batch, Monthly fee, Previous balance - and import it on your FeeSathi page. If you keep a month-by-month register, you can import our fee register template directly: rows for each student are merged and their outstanding balance carried over. Use the batch column to keep each class identifiable.
Data and privacy
You're storing children's names and parents' phone numbers, so keep only what you need for fees. FeeSathi never handles money - parents pay you directly - and you can download everything to Excel or delete your page and all its data at any time. Read the privacy page for exactly what is stored.
Try it with one batch first
The quickest test: import one batch, use it through one fee cycle, and see whether reminders actually go out on time. Create a free page - no signup, free during the pilot.
See who owes you, send a polite WhatsApp reminder with your UPI ID, and keep everything in an Excel file you can download. No signup, no app to install.
